Privacy Policy

PhaseCoach ("we", "us", "our") operates the PhaseCoach web application and mobile app. This Privacy Policy explains how we collect, use, store, and protect your personal data.

1. Data We Collect

Account Information

  • Name and email address
  • Encrypted password
  • Account role (coach or client)

Health & Fitness Data

  • Body measurements (weight, body fat, muscle mass, circumferences)
  • Daily logs (energy, mood, stress, sleep, nutrition adherence, steps, cardio)
  • Workout sessions and exercise performance data
  • Meal plans, training plans, and supplement protocols
  • Progress photos (uploaded by users)

Bloodwork Data

  • Lab results including hormone panels, lipid panels, and metabolic markers
  • Lab name and test date

Enhanced Athlete Data

For clients with enhanced features enabled, we may additionally store compound/cycle information including substance names, dosages, and schedules. This data is only collected when explicitly opted in by the coach with the client's knowledge.

Communications

  • Messages between coaches and clients
  • Coach notes and check-in reviews

2. How We Use Your Data

We use your data exclusively to:

  • Provide the PhaseCoach coaching platform service
  • Enable coaches to create and manage client protocols
  • Track client progress over time
  • Send notifications about your account activity
  • Process payments

We do not sell, rent, or share your personal data with third parties for marketing purposes.

3. Data Storage & Security

Your data is stored on secure cloud infrastructure. All data is encrypted in transit (TLS) and at rest. Database access is controlled by row-level security policies ensuring coaches can only access their own clients' data, and clients can only access their own records.

4. Third-Party Services

We use third-party service providers for the following purposes:

  • Cloud database & authentication — storing your data and managing sign-in
  • Payment processing — handling subscriptions (we do not store card details)
  • Push notifications — delivering mobile notifications
  • Video calls — enabling coach-client video sessions
  • Web hosting — serving the application

Each provider processes data in accordance with their own privacy policies. We only share the minimum data necessary for each service to function. A list of current sub-processors is available on request.

5. Cookies & Tracking

PhaseCoach uses minimal cookies. We store only authentication tokens required for your session. We do not use analytics tracking, advertising cookies, or third-party trackers.

6. Data Retention & Deletion

We retain your data for as long as your account is active. You may request complete deletion of your data at any time by contacting us (see below). Upon receiving a valid deletion request, we will permanently remove all your personal data within 30 days.

Under GDPR Article 17, you have the right to erasure. When your data is deleted, it is permanently removed from our database — including all health metrics, messages, plans, and account information. This action is irreversible.

7. Your Rights

Under GDPR and UK data protection law, you have the right to:

  • Access — request a copy of your personal data
  • Rectification — correct inaccurate data
  • Erasure — request deletion of your data
  • Restriction — limit how we process your data
  • Portability — receive your data in a portable format
  • Objection — object to processing of your data

8. Health Data Disclaimer

PhaseCoach is a software platform that provides tools for coaches to manage their coaching business. PhaseCoach is not a medical provider and does not provide medical advice. Health data stored on the platform (including bloodwork, measurements, and supplement information) is provided by users and their coaches. Always consult a qualified healthcare professional for medical decisions.

9. Beta Status

PhaseCoach is currently in beta. While we take data security seriously and apply the same protections as a production service, features and data handling procedures may evolve as the platform develops.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. Continued use of PhaseCoach after changes constitutes acceptance of the updated policy.
